Administrative Assistant (Manufacturing)
2nd Shift - Bilingual
Shift: (2p-10p)
Job Summary:
The Manufacturing Administrative Assistant provides vital support to the production and operations team by handling administrative tasks, ensuring smooth communication between departments, and maintaining accurate records. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced manufacturing environment.
Key Responsibilities:
- Assist with day-to-day administrative tasks, including scheduling meetings, managing correspondence, and preparing reports.
- Maintain and update records related to production, inventory, and compliance.
- Process purchase orders, invoices, and other financial documents.
- Coordinate with vendors, suppliers, and internal departments to ensure efficient workflow.
- Support HR functions such as onboarding new employees, tracking attendance, and maintaining personnel files.
- Ensure compliance with company policies, safety regulations, and industry standards.
- Prepare and distribute reports, presentations, and other documentation as needed.
- Assist in organizing company events, training sessions, and safety meetings.
- Manage office supplies and ensure the administrative area remains organized.
- Perform other duties as assigned by management.
Qualifications:
- High school diploma or equivalent (Associate s degree preferred).
- Previous experience in an administrative role, preferably in a manufacturing or industrial setting.
- Bi-lingual, Spanish/English Required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Knowledge of ERP systems or manufacturing processes is a plus.
Work Environment:
- Office setting within a manufacturing facility.
- Occasional visits to the production floor may be required.
- Fast-paced and deadline-driven environment.
