Job Summary
The Compliance Coordinator (DOT/MSHA) is responsible for ensuring company compliance with all Department of Transportation (DOT) and Mine Safety and Health Administration (MSHA) regulations. This role supports safety initiatives, maintains regulatory documentation, and conducts training to ensure adherence to federal, state, and company standards. The Compliance Coordinator works closely with operations, fleet management, and safety teams to promote a culture of compliance and workplace safety.
Key Responsibilities
- Ensure compliance with DOT and MSHA regulations, maintaining up-to-date knowledge of applicable federal and state laws.
- Develop, implement, and maintain policies and procedures to meet regulatory requirements.
- Conduct audits, inspections, and risk assessments to identify and mitigate compliance risks.
- Monitor and maintain records for driver qualifications, vehicle inspections, hours of service (HOS), drug and alcohol testing, and safety training.
- Coordinate DOT compliance efforts, including maintaining FMCSA (Federal Motor Carrier Safety Administration) files, CDL verification, and ELD (Electronic Logging Device) records.
- Oversee MSHA compliance, including training, certification tracking, and site inspections.
- Investigate incidents, accidents, and non-compliance issues, recommending corrective actions as necessary.
- Prepare reports and documentation for regulatory agencies as required.
- Serve as a liaison with DOT and MSHA representatives during inspections, audits, and investigations.
- Conduct employee training sessions on DOT and MSHA requirements, ensuring proper documentation.
- Assist with the development and implementation of safety programs and initiatives.
- Support internal stakeholders with compliance-related inquiries and provide guidance on regulatory best practices.
Qualifications & Requirements
- Bachelor's degree in Safety Management, Transportation, or a related field preferred. Relevant work experience may be considered in lieu of a degree.
- 2+ years of experience in DOT, MSHA compliance, or transportation safety-related roles.
- Strong knowledge of DOT/FMCSA regulations and MSHA safety standards.
- Experience with compliance software, electronic logging devices (ELDs), and fleet management systems.
- Excellent organizational skills and attention to detail.
- Ability to conduct training sessions and communicate effectively with employees at all levels.
- Strong analytical and problem-solving skills with the ability to interpret regulatory requirements.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and compliance tracking systems.
- Ability to work independently and as part of a team in a fast-paced environment.
- Valid driver s license required; CDL preferred.
Work Environment & Physical Requirements
- Office and field environment, requiring travel to job sites occasionally.
- Occasional lifting of equipment or materials up to 25 lbs.
- Ability to conduct on-site inspections, which may involve exposure to outdoor conditions and industrial environments.
