Payroll Coordinator
We are seeking a Payroll Coordinator. The successful candidate will be responsible for ensuring accurate and timely processing of payroll for all employees. While previous experience with Paylocity is preferred, we are open to candidates who have a solid background in payroll administration and are eager to learn and work with Paylocity. This role requires strong attention to detail, excellent organizational skills, and a commitment to maintaining confidentiality and compliance with payroll regulations.
Key Responsibilities:
- Process and administer payroll for employees on a regular schedule (bi-weekly, semi-monthly, etc.).
- Ensure accurate and timely processing of payroll data, including hours worked, overtime, paid time off, bonuses, and commissions.
- Maintain employee payroll records, including pay rates, deductions, and other payroll-related information.
- Assist employees with payroll-related inquiries and resolve issues or discrepancies in a timely manner.
- Work closely with HR to ensure accurate processing of new hires, terminations, promotions, and status changes.
- Ensure compliance with federal, state, and local tax regulations, including proper withholding and deductions.
- Prepare and submit payroll tax filings, including quarterly and annual returns.
- Reconcile payroll reports, including employee deductions, benefit contributions, and other relevant data.
- Coordinate with the accounting department to ensure payroll costs are accurately accounted for and recorded.
- Generate and distribute payroll-related reports to management, HR, and finance as requested.
- Assist in maintaining and updating employee benefits records, including deductions and enrollment.
- Keep up to date with changes in payroll laws and regulations to ensure ongoing compliance.
- Utilize Paylocity software (or similar payroll platforms) to enter and manage payroll data, track hours, and generate payroll reports.
Qualifications:
- Previous experience in payroll processing (2+ years preferred).
- Experience with Paylocity is preferred, but not required. Familiarity with other payroll software is a plus.
- Strong understanding of payroll processes, including tax withholdings, deductions, and compliance with payroll laws.
- Ability to work efficiently under pressure and meet payroll deadlines.
- High attention to detail and accuracy in all aspects of payroll processing.
- Strong communication and interpersonal skills to interact with employees at all levels.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with payroll-related reporting and analysis.
- Ability to maintain confidentiality and handle sensitive employee information responsibly.
Education:
- High school diploma or equivalent required; an Associate s degree in Accounting, Finance, or related field is preferred.
- Payroll certification (e.g., CPP - Certified Payroll Professional) is a plus but not required.
